This Privacy Policy explains how Warlord MC (“we”, “us”, “our”) collects, uses, and protects information when you visit warlordmc.com, connect to our Minecraft server, join our Discord community, or make a purchase through our webstore. We are committed to handling your data responsibly and in accordance with the EU General Data Protection Regulation (GDPR) where applicable, as well as other relevant data protection laws.

1. Who We Are

2. What Information We Collect

2.1 Information You Provide Directly

  • Account registration details — if you create a website account to submit support tickets or bug reports, we collect your chosen username, email address, and password. Passwords are stored in encrypted (hashed) form and are never visible to us in plain text.
  • Minecraft username — when you connect to the server or make a purchase through our webstore, so we can deliver ranks and perks to the correct account.
  • Email address — if you contact us via email, register a website account, or choose to subscribe to our mailing list.
  • Support tickets and bug reports — the content of any ticket, bug report, or message you submit through our support system, including any details, screenshots, or attachments you choose to include.
  • Discord account information — if you join our Discord server, Discord’s own systems handle your account data according to Discord’s Privacy Policy. We only see what you choose to make visible in our server (username, messages, role assignments).

2.2 Information Collected Automatically

  • In-game data — your Minecraft username, in-game actions, chat messages, and playtime, which are necessary for server moderation, anti-cheat enforcement, and economy/rank functionality.
  • IP address — your IP address is processed when you connect to our Minecraft server (a normal technical requirement of the game’s network protocol) and when you visit our website, for security, fraud prevention, and basic analytics purposes.
  • Website usage data — we use WP Statistics to understand overall traffic trends on our website. WP Statistics is designed to operate without cookies and does not collect personally identifiable information; it only records aggregated, anonymized usage data.
  • Google Analytics — we use Google Analytics to better understand how visitors use our website. Google Analytics uses cookies and may collect data such as your IP address (which may be processed by Google outside the European Economic Area, including in the United States), browser type, pages visited, and approximate location. This data is used in aggregate form to help us improve the website. You can opt out of Google Analytics tracking using your cookie preferences (see our Cookie Policy) or by installing the Google Analytics Opt-out Browser Add-on.

2.3 Information Handled by Third-Party Services

We do not directly collect or store your payment information. Purchases made through our webstore are processed entirely by Tebex, which acts as the Merchant of Record. Tebex collects the information necessary to process your payment (such as billing details and payment method), handles VAT collection, and manages its own fraud prevention systems. Please refer to Tebex’s own Privacy Policy for details on how they handle your data.

Our server status page also uses third-party services (mcsrvstat.us for live server status, and mc-heads.net for player avatar images) to display public information about who is currently online. These services only receive publicly visible information already broadcast by the Minecraft server itself (server address and online player names) — no personal account data is shared with them.

3. How We Use Your Information

We use the information described above to:

  • Operate and maintain the Minecraft server, including moderation and anti-cheat enforcement
  • Deliver purchased ranks, perks, and digital items to the correct in-game account
  • Respond to support requests and enforce our Terms & Conditions and server rules
  • Send you updates if you have voluntarily subscribed to our mailing list
  • Understand website traffic trends to improve the site
  • Detect and prevent fraud, chargebacks, and abuse
  • Comply with applicable legal obligations

4. Legal Basis for Processing (EU/EEA Visitors)

Where the GDPR applies, we rely on the following legal bases:

  • Contract performance — processing your Minecraft username and purchase details to deliver items you have bought.
  • Legitimate interest — server moderation, fraud prevention, and basic, privacy-respecting website analytics (WP Statistics).
  • Consent — mailing list subscriptions and non-essential cookies, including Google Analytics, which you may accept or decline via our cookie banner.

5. Website Accounts, Support Tickets, and Bug Reports

A website account is only needed if you want to submit a support ticket or bug report — it is not required to play on the server or make a purchase through our webstore. When you register, we store your username, email address, and an encrypted version of your password using WordPress’s built-in account system.

The content of support tickets and bug reports (including any text, screenshots, or attachments you submit) is visible to our support staff and is used solely to investigate and resolve your issue. We retain ticket history for as long as your account remains active, or as needed to track recurring issues and improve the server. You may request deletion of your account and associated ticket history at any time by contacting [email protected], subject to any legal or anti-abuse retention requirements (for example, records related to a chargeback dispute or rule violation may be retained longer where necessary).

6. Newsletter

If you subscribe to our mailing list, we use your email address solely to send you server news, updates, and webstore announcements. Subscribing to the newsletter is entirely optional and is never a condition for registering an account, joining the server, or making a purchase. You can unsubscribe at any time using the link included in every email we send, or by contacting [email protected].

7. Data Retention

We retain in-game account data, including playtime and purchase history, for as long as your account remains active. Accounts that have been inactive for an extended period may be removed in accordance with our Terms & Conditions. Mailing list data is retained until you unsubscribe or request deletion. Purchase and billing records are retained by Tebex in accordance with their own retention policies and applicable tax law requirements.

8. Data Sharing and International Transfers

We do not sell your personal data. We share data only with the service providers necessary to operate Warlord MC, including:

  • Rackhost Zrt. (Hungary) — our website hosting provider
  • Cloudflare, Inc. (United States) — our domain registrar and DNS provider, which may process certain technical data (such as IP addresses) as part of routing traffic to our website
  • Tebex — our webstore and payment processing provider
  • Google LLC (United States) — for website analytics via Google Analytics
  • Discord Inc. (United States) — for our community server

Where data is transferred outside the European Economic Area, these providers generally rely on mechanisms such as Standard Contractual Clauses to ensure an adequate level of data protection.

9. Your Rights

If you are located in the European Union or European Economic Area, you have the right to:

  • Request correction of inaccurate data

Our Services are not directed at children under the age of 13.
